Event check-in without an app, scanners or rented hardware
For most events, check-in is a list and some people with phones. The hard part is keeping several phones in sync and handling the groups that arrive in pieces.
Why “no app” matters
Every app you ask guests or temporary staff to install costs you people. Volunteers have full phones, guests forget, and the one person who has it is on a break. A web page that opens from a link works on every phone, today.
What the check-in screen needs
- A search box, because nobody can scroll 400 names in a queue.
- The group size next to each name, and how many of the group are already inside.
- Buttons big enough for a thumb: +1 in, all in, and an undo.
- A total at the top: inside vs. expected.
Several staff, one truth
With two or more people checking in, every phone must see every check-in within seconds. Otherwise a group gets in twice, or someone is turned away because “they’re already in” on a different phone. Shared logins help: one door login, any number of phones.
Groups arriving in parts
“Anna +4” arrives as Anna and one friend, then three more later. Partial check-in – two of five inside – keeps the remaining spots open under her name without anyone writing notes in margins.
Prepare the list properly
Most check-in chaos starts days earlier: names in different formats, duplicates, plus-ones nobody counted. Collect names in one format (“Name +N”), let each host fill their own allocation, and close or freeze changes at a time you choose. Our guest list guide covers this.
A simple setup
With RONDZA, staff open the door view in their browser, search, and tap. Every phone updates live, groups can be checked in partly, and the door can’t add names. It’s free during early access.
